Start with the process, not the tool
Map what happens today before choosing what to automate. Record the trigger, each handoff, the information required, and the person responsible for the outcome.
A process may cross departments. Employee onboarding, for example, can involve people operations, a manager, finance, and the team that provides system access.
Automate the stable parts
Clear, repeated steps are strong candidates for automation. Software can route a record, update a status, or send a standard notice when a defined condition is met.
Exceptions need a deliberate route too. If information is missing or a request falls outside policy, the process should send it to a person instead of quietly forcing the normal path.
